Job Description:

Summary:

The Network Program Assistant position is a non-exempt position to provide administrative, clerical, and project management support for the North Carolina Community Health Center Association (NCCHCA) staff working on initiatives related to Carolina Medical Home Network, LLC (CMHN) and the NCCHCA Health Center Controlled Network (HCCN) Cooperative Agreement. CMHN is a clinically integrated network whose mission is to promote high-value care and health equity through personalized, coordinated delivery of data-driven healthcare services. Participating practices work collaboratively to improve performance on contracts with health insurance companies. NCCHCA is the managing entity for CMHN, and the NCCHCA staff support CMHN’s committees and manage its contracts. NCCHCA staff also lead the HCCN projects which include a focus on supporting community health centers in North Carolina around data security, health information technology, and data integration, management, and analytics. The Network Program Assistant will play a vital role in supporting CMHN and HCCN committees, workgroups, and internal/external meetings, streamlining internal and external communications, and assisting with clerical and project management tasks.

Qualification Requirements

  • Ability to operate computer, fax, scanner, copier, and postage machine.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook etc.)
  • Excellent organizational ability and sensitivity with confidential information.
  • Utilize organizational skills, judgment and flexibility including ability to recognize and define problems, read and interpret key points and draw valid conclusions.
  • Ability to manage multiple projects and meet deadlines.
  • Travel and work at off-site events and conferences, as requested.
  • Valid NC Driver’s License.

Minimum Qualifications:

  • High school diploma or equivalent.  Post-secondary training in office administration is a plus.  Bachelor’s Degree Preferred.
  • Experience in office administration position.
  • In-depth understanding of office management and daily operations.
  • Excellent verbal and communication skills.

Essential Functions:

  • Assist the VP of Value-Based Services and Managed Care, CMHN Director, CMHN Director of Operations, and VP of Network and Data Analytics with scheduling meetings and travel, coordinating and managing virtual, hybrid and in-person meeting setups and logistics.
  • Take meeting minutes for CMHN and HCCN meetings, identify action items, and ensure execution.
  • Track meeting action items and manage other data/information in a variety of project management systems including Office 365, Airtable, and Salesforce.
  • Compose correspondence, reports, create presentations, and prepare supporting documents for CMHN and HCCN initiatives.
  • Support CMHN contract and regulatory compliance including maintaining and reviewing a log of team members with access to confidential files and information.
  • Assist with organizing CMHN and HCCN materials and updating folder structures and file paths, including scanning and properly saving correspondence received via mail.
  • Support CMHN Director of Operations and VP of Network and Data Analytics with projects to prevent duplication of effort, improve efficiency, and increase employee morale.
  • Develop and keep up to date onboarding packet for new staff working with CMHN/HCCN and new CMHN and/or HCCN participating practices.
  • Place catering orders, assist with set-up of onsite meetings, assist with off-site meetings as needed.
  • Make copies, collate, staple and mail or file materials as requested.
  • Perform other related duties as required.

Knowledge, Skills, and Abilities:  

  • Ability to operate personal computer, fax, scanner, copier, and postage machine.
  • Ability to take and transcribe meeting minutes in a timely manner.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook etc.)
  • Excellent organizational ability and sensitivity with confidential information.
  • Willing to travel to and work at off-site events and conferences, as requested.

 Work Environment:

This job will begin as a hybrid position with the individual working in NCCHCA’s Raleigh offices up to 3 days per week, and from home two days per week. Modifications to this full-time position will be considered, but NCCHCA maintains the option to make this an onsite-only position if office priorities change and/or performance is not meeting expectations.

Typical office environment and infrequent travel to various locations throughout the state including primary care practice sites, conference locations, and other training events. Travel will not exceed 20% of time.
