Job Description:

Westlife Wellness (WLW) is actively seeking a Certified Medical Assistant (CMA) to strengthen our team. As a crucial member of our healthcare team, the CMA will play a key role in supporting providers within the patient-centered medical home by executing essential clinical responsibilities under the guidance of a Medical Provider.

JOB DESCRIPTION: Certified Medical Assistant (CMA)

The CMA will serve as the organization’s floater/lab coordinator. The floater/lab coordinator is responsible for ensuring an efficient workflow for daily rooming processes and laboratory functions across our clinics. This role requires strong collaboration with the Director of Nursing, Healthcare Providers, Quality Team, Administrative Staff, and other personnel to deliver exceptional primary health care to all patients. We are committed to upholding the philosophy of our clinic and the principles of the Patient-Centered Medical Home (PCMH), and the CMA floater/lab coordinator will be instrumental in achieving this goal.

ESSENTIAL DUTIES AND RESPONSIBILITIES (include but are not limited):

CLINICAL:
Support the licensed healthcare provider by delivering direct and indirect patient care in the role of a CMA
Communicates effectively oral, written, and non-verbal
Is responsible for maintaining an effective and efficient workflow
Assists the team with the rooming process
Assists healthcare providers with office procedures
Is responsible for updating the electronic medical record
Assist with phone triage as assigned to expedite timely turnaround times
Assist with completing prior authorizations
Assists with monitoring, ordering, and maintaining clinical supplies
Is responsible for monitoring supplies for expiration dates
Is accountable for disposing expired items per agency protocol
Is responsible for cleaning and disinfecting medical equipment and patient-use areas after each patient use and as needed
Is responsible for maintaining a clean, decluttered work environment in the clinical areas
Is accountable for fostering and maintaining a positive work environment
Participates in the daily huddle
Assist with and perform other tasks as assigned

LABORATORY:
Is responsible for facilitating laboratory duties and responsibilities for a CLIA-Waived laboratory
Performs venipunctures as ordered by the provider and prepares specimens for send out
Ensures specimens are ready for pick up at the designated time
Assist with maintenance of CLIA-Waived equipment
Is accountable for completing controls for CLIA-Waived testing as required by the state
Is accountable for maintaining sufficient inventory
Is responsible for monitoring supplies for expiration dates
Is accountable for disposing expired items per agency protocol
Is responsible for tracking outgoing specimens (lab, pap, and derm) to ensure specimens are received and resulted
Assist in rescheduling no-show and cancellation appointments
Complete sterilizer weekly and monthly maintenance
Clean and disinfect surgical instruments and prepare for sterilization
Assist in sterilizing surgical instruments
Is responsible for participating in the daily huddle
Assist with and perform other tasks as assigned

MEDICAL RECORDS
Accurately document in the Electronic Medical Record (EMR).
Access patient charts for direct and indirect patient care.
Assist in updating the EMR when records are received from other health care providers and offices.
Request medical records from other medical facilities
Assist with scanning medical records
Dispose of all PHI according to HIPAA guidelines.
Accurately use electronic databases

PHONE CALLS
Provide patient assistance during incoming phone calls.
Return patient phone calls in a timely manner per organization policy.
Leave messages as per HIPPA standards and guidelines
Utilize the EMR to communicate patient needs to the HCP.
Create appropriate encounters in the EMR to document communication with the patient.

ADMINISTRATIVE FUNCTIONS:
Attend all staff meetings (monthly and as scheduled).
Assist in the preparation of clinical reports required by the clinic.
Develop a working knowledge and understanding of federal, state, and local statutes and regulations governing the operation of a federally qualified healthcare facility.
Adhere to all clinical policies and procedures.
Attend daily huddles & participate in the patient care team.
Perform other duties as assigned by the medical director & administration.

MENTAL / EMOTIONAL NEEDS:
Maintain the mental stability required to meet the complex demands in the clinical setting.
Provide safe delivery of patient care.
Facilitate changes required by the clinic to improve the quality and delivery of patient care.
Adapt to situations, acting quickly, and paying close attention to details.
Communicate courteously and professionally with all persons.
Manage stress associated with meeting assigned deadlines.

PHYSICAL NEEDS (The employee may be required to):
Perform tasks involving all five senses. Vision requirements include the ability to look at objects up close and at a distance, recognize objects in the peripheral field, distinguish between different colors, view objects with depth perception, and focus on objects.
Safely operate different types of equipment.
Stand, walk, climb, balance, stoop, kneel, and reach with hands and arms.
Lift and or move up to 25 pounds.
Transport bio-hazardous waste in approved containers and storing in secured locations.

PROFESSIONAL / ORGANIZATIONAL REQUIREMENTS:
Completing all educational training, competency testing, and validation before performing any tasks independently
Maintain a current unrestricted certification
Maintain current certification for Basic Life Support
Complete monthly training as required of each employee of the clinic
Obtain/ Decline the Hepatitis B Vaccination (offered at no cost)
Maintain tuberculosis screenings
Provide a urine sample for a random drug screen as needed per Personnel Policy
Participate & adhere to competency requirements

QUALIFICATIONS: Associate Degree in Applied Science from an accredited Medical Assisting Program, AAMA-certified
